Managing guests and visitors in the Business Network application.

Guests Overview

Guests are visitors who attend meetings but are not yet members of your business network. This section explains how to manage guests, track their attendance, and process their payments.

Guest Management

Adding a Guest

There are two ways to add guests to your system:

Method 1: Adding a Guest to a Specific Meeting

  1. Navigate to the meeting details page
  2. Click the "Add Guest" button
  3. Fill in the guest details:
    • Name
    • Email
    • Mobile
    • Fee Status (Paid/Unpaid)
    • Invited By (select a member)
    • Notes
  4. Click "Add Guest" to register the guest for the meeting

Method 2: Adding a Guest Directly

  1. Navigate to the Guests section from the sidebar
  2. Click the "Add Guest" button
  3. Fill in the guest details
  4. Select the meeting they will attend
  5. Click "Save" to create the guest

Viewing Guest Details

To view a guest's details, click on their name in the guests list. The guest profile page shows:

  • Personal information
  • Meeting they're attending
  • Payment status
  • Attendance status
  • Who invited them

Managing Guest Attendance

Marking Guests as Present

  1. Navigate to the Guests section or the specific meeting page
  2. Find the guest in the list
  3. Click "Mark Present" in the Actions column

Note: Once a guest is marked as present, this action cannot be undone.

Payment Processing

Recording Guest Payments

  1. Navigate to the guest details page or the meeting details page
  2. Click "Record Payment" or "Mark as Paid"
  3. Fill in the payment details:
    • Select Bank
    • Enter Amount
    • Select Payment Method
    • Enter Reference (optional)
    • Add Notes (optional)
  4. Click "Record Payment" to complete the process

Viewing Payment Details

After a payment is recorded, you can view the transaction details by:

  1. Navigate to the guest details page
  2. Click on the "Paid" status
  3. This will take you to the transaction details page

Converting Guests to Members

When a guest decides to join your network, you can convert them to a member:

  1. Navigate to the guest details page
  2. Click the "Convert to Member" button
  3. Fill in any additional required member information
  4. Select a membership plan
  5. Process the membership payment
  6. Click "Convert" to complete the process

Tip: Converting a guest to a member will transfer all their information automatically, saving you time on data entry.

Guest Reports

The system provides several reports related to guests:

  • Guests by meeting
  • Guests by inviting member
  • Conversion rate (guests to members)
  • Payment status summary
